How to write a Proper SIWES / IT Report

If you’re here, you are probably bothered with how to write your Student Industrial Work Experience Scheme(SIWES) or Industrial Training (IT) Report, which is a necessity for all students to write once or twice before graduating from their respective institutions. Hence, I’ve come up with detailed Guidelines/Formats on How to write an A SIWES/IT Report. Do ensure to read till the end to grab all it entails.

 

First, lets get to know somethings about SIWES/IT Report

 

WHAT IS SIWES/IT REPORT?

The SIWES report is an acronym for the Students Industrial Work Experience Scheme. It’s a programme with a duration of three months to one year. It’s connected with Industrial Training or IT. Therefore, every student is required to get through this training in the second or third year of school. It is graded like every other school course, that’s why every student must learn how to write SIWES/ IT report.

 

An Industrial Training Report should be prepared for each period of approved employment. The report is expected to demonstrate development of practical and professional skills in Engineering through technical experience and application of theoretical knowledge and research project/topic if there is. Development of skills in dealing with people, and communication skills form part of the training experience. Students should seek advice from their employers to ensure that no confidential material is included into the report. The student should be able to present the report to prospective employers, as a complement to their degree. The following should be observed:

  1. Length of training
  2. Preliminary information
  3. Technical report/diary

References should be made in the text to books, technical papers, standards etc., used during the training period and should be listed.

Finally, a conclusion should include comprehensive comments on the type and value of experience gained, and how this relates to your professional career.

A copy of the report should be submitted to your employer (advised), another copy to the Faculty (required-through the respective Adviser). Students should also retain a personal copy (advised) of the report.

SIWES Report can be in the following format:

This is the conventional age long specification, there may be changes in the font style for your institution.

  • A4 format paper
  • Times New Roman
  • Font-Size – 12 points
  • Line spacing is 1.5.

The “310-gram Whiteart Card” is to be advised for students to be used for the front cover.

Every SIWES report must include the following items:

  • Activities of the Organization;
  • Acknowledge of the Organization;
  • Summary of the Report.

In the content section of your SIWES report it`s necessary to include:

  • Page numbers;
  • Sub-titles;
  • Titles.

You will also be required to explain and describe the reason why you have chosen a certain company for your training. Therefore, in the introduction chapter of your SIWES report you will need to indicate the following:

  • History of the company;
  • Organizational Structure of the company;
  • Structure of the company;
  • The title and the position of the officer responsible for your training;

Other necessary information about the company where you work. All students should also provide detailed report of their activities at their work place.

Therefore, every SIWES report should also contain the following information:

  • Problems Solved;
  • Problems encountered during the work;
  • Supervisory work:
  • Projects handled out.

Planning your Industrial Training/ SIWES Report.

It is advisable to always make plan before you start writing your report as it will serve as guidance for a successful Industrial Training report. The format includes;

Preliminary pages

  • Title page
  • Dedication
  • Acknowledgement
  • Table of content
  • Abstract

CHAPTER ONE

  • Introduction
  • Aims/Objectives of the programs

CHAPTER TWO

  • Description of the establishment of the organization
  • Aims/Objectives of the organization
  • Organization structure including the organogram of the establishment
  • The various departments/ groups/ sections in the establishment and function

CHAPTER THREE

  • Activities carried out in the organization or during the cause of the Industrial Training
  • Report clearly on activities carried out in the organization actually with clear statement on experience acquired

CHAPTER FOUR

  • Problems Encountered
  • Report clearly on the problems encountered doing your stay in the organization or while undergoing the training.

CHAPTER FIVE

  • Summary, conclusion and recommendation
  • State clearly your recommendation, conclusion and summary of all the activities during the SIWES program

Title page

This part comprises of the name of the institution, faculty, department, the title (Students Industrial Training Work Experience – SIWES), your name, matriculation number. The date comes last (month and year)

Table of content

It contains details on the main headings, subheadings and page numbers of the work. Each page number is derived from the page number of the heading. This should be crosschecked once other pages have been completed to see whether they tally.

 

Abstract

This contains full summary of the Industrial Training (IT) Report. This is where you summarize your introduction, aims and purpose of the Industrial, experience, problems and way forward. It should be very brief and straight to the point, no long stories.

 

Chapter one

This entails the work proper. It comprises of the introduction and the objectives of the program. This is where student talk more about Students Work Industrial Experience Scheme (SIWES) or Industrial Training (IT). What the training is all about is expected to be stated clearly by all students in their reports.

In the objectives of the program, students are expected to state the importance of the training regarding to the benefits they derived in the training.

Chapter Two 

It comprises of the following: the description of the establishment of the place where the training was obtained. This is where students doing their report are expected to discuss more on the history of the establishment; location, when it was established and general tips of the establishment.

Then, objectives of the establishment. This is where the student explains the different operations carried out in the institution he has undergone the training. That is; what they do and their major areas of specialization.

Organizational structure including the organogram of the establishment. This is where the student explains what the different operations/offices in the organization specializes on. That is; what they do in contribution to the company.

Organizational chart:  This is where the student makes a sketch, describing the different ranks/offices in the organization starting from the head/director to the last person/group.

Also, the student explains what they do and what they are capable of doing, stating clearly their responsibilities.

For instance; Managing Director: He is the owner of the organization. He is the general overseer and who makes the final decision in the office. You can use this method for others.

The various departments in the establishment and its function: This is where the student enumerates the different sections in the organization. Also, after stating the different sections or departments, the student is expected to explain their functions.

For instance; Fast Food Section: This is a place where productions are made such as ice cream, chin-chin, jellof rice, moi-moi etc. use this pattern for others, depending on what you are working on.

 

Chapter Three

This is where the student explains more of his/her activities in the organization. The experience gained and what he/she learnt during the work in the institution. Finally, the student states what he/she can do on his or her own regarding to what the institution specializes on.

For instance; in general experience acquired, the student may say; I learnt how to do this or that etc.

Chapter Four

Problems encountered: The student must have experienced lots of problem while undergoing the training in the institution. This is an opportunity for the student to express his/her self. The problem could be; inability to operate the machines, light problem, security problem etc.

 

Chapter Five

Recommendation and conclusion

In recommendation, the student talks on what he wants the Students Industrial Training Work Experience (SIWES) to put in place. What they should provide and how most problems should be solved.

In conclusion, the student make conclusion using the information you extracted from the previous chapters then saying more on the reasons why SIWES programme should continue. That is, summarize your report in three or four paragraphs.

References

This is the arrangement of quoted names in the IT report in alphabetical order using either MLA, APA or even Chicago format.
